Personal Data Processing Policy
Who processes the data
Personal data operator: Open Joint Stock Company «Minsk Agroservice», UNP 690654790, address: 223056, Minsk District, Yubileyny settlement, ul. Kommunalnaya, 4a. We accept personal data requests at agroservis@minskagroservis.by.
The person responsible for internal control over personal data processing is appointed by order of the company's director. Processing is carried out in accordance with Law of the Republic of Belarus No. 99-Z of 7 May 2021 "On Personal Data Protection".
What this policy covers
This page explains what data we receive through minskagroservis.by, why we need it, how long we keep it and what you can request. Two documents supplement this policy and cover specific cases:
- Consent to personal data processing: the text you accept when you submit a request;
- Cookie Policy: the list of files, retention periods and how the consent banner works.
What data we receive
The site has one request form, placed in several sections. You fill in four fields:
- name;
- phone number;
- what you need: spare parts, machinery, repair or other;
- comment: machine model, what is needed, timing.
Technical data is stored together with the request: the page it was sent from, date and time.
The site collects nothing else. There is no registration, no user accounts, no newsletter subscription and no online payment: company details and payment data do not reach us through the site.
If a request leads to an invoice or shipment, you provide the missing details (contact person, company details, delivery address) in correspondence or in documents. This is normal document flow under a transaction, not data collection through the site.
A separate case is a job application. In the form on the vacancies page you enter your name, phone, the vacancy and a comment. You can also email your CV to agroservis@minskagroservis.by; in that case we process what the email contains: sender address, name and the information in the CV.
The site does not ask for passport data, health information, biometrics or other special categories of personal data. Please do not enter them in the comment field: we do not need them to reply.
Why we need this data
- to answer your request: find a spare part or machine, give the price, availability and lead time;
- to contact you and clarify the details of your task;
- to agree on manufacturing, shipment or pickup;
- to agree on a repair or on making a part to your sample or drawing;
- to issue an invoice, contract and shipping documents for the order;
- to review a CV you have sent;
- to comply with legal requirements on accounting and document retention.
We do not send newsletters. We do not do profiling and do not pass data to third parties for their own interests.
Legal basis for processing
For a request, the basis is your consent. It is given by ticking the box in the form; without it the request will not be sent. The date of submission and the version of the consent text in force at that moment are stored with the request. The full text is on the consent to personal data processing page.
For cookie data the basis is also consent: your choice in the banner.
To perform a supply contract and for accounting and tax purposes, data is processed on the basis of law, and no separate consent is required. We review CVs because you sent them to us for that purpose.
Where a request goes and who we share data with
A submitted request is sent by email to the company mailbox and stored in the site's admin panel. Access is limited to employees who need it for their work.
We do not sell personal data and do not pass it to advertising networks, data brokers or other companies for their own purposes. Data may be shared only to the extent needed for your order or to meet legal requirements:
- with a carrier or forwarder: name, phone and delivery address;
- with the hosting provider and corporate email provider as technical processors, under a confidentiality obligation;
- with government authorities upon a justified request, in the manner established by law.
Data is processed and stored in the Republic of Belarus. The site, email and request database are hosted on the servers of a hosting provider under contract with the company.
How long we keep data
Requests that did not lead to an order are kept for 6 months from the date received, then deleted automatically. Applicants' CVs are kept no longer than needed for the processing purposes, then deleted. Data on completed transactions and accounting documents are kept for the periods set by the law of the Republic of Belarus. Cookie retention periods are listed in the Cookie Policy.
When the period ends, data is deleted or anonymised. Earlier at your request, unless the law requires us to keep it.
How we protect data
Only employees who need it for their work have access to requests. Data from the site is sent over a secure connection; access to email and the admin panel is password-protected with restricted rights. No one can guarantee absolute protection on the internet, but we take the legal, organisational and technical measures required by law.
Your rights
- to find out whether we process your data and how;
- to find out who your data has been shared with;
- to request correction of inaccurate, incomplete or outdated data;
- to withdraw consent at any time;
- to request that processing stop and the data be deleted;
- to appeal our actions or inaction to the National Personal Data Protection Center of the Republic of Belarus.
How to withdraw consent or send a request
Write to agroservis@minskagroservis.by or send an application to: 223056, Minsk District, Yubileyny settlement, ul. Kommunalnaya, 4a. Include your surname, first name, patronymic, reply address, the substance of your request and the date, plus a signature on a paper application.
We reply within 15 calendar days of receiving the request. After consent is withdrawn, we stop processing and delete the data within the same period. The exception is information we are required by law to keep, such as documents for a supply already completed.
Cookie consent is withdrawn differently, without a letter: the procedure is described in the Cookie Policy.
Cookies
The site uses service files of the content management system, a file storing your choice in the consent banner and, if they are connected, analytics counters. Analytics does not start until you click «Accept». The list of files, retention periods and how to opt out are in the Cookie Policy.
Changes to this policy
The current version is always published on this page. A version takes effect on the date of its publication. Requests already submitted are governed by the version in force on the day they were sent.
